The Web Forms to Workflow Solution Pack enables you to convert paper-based forms to electronic, online forms that consumers can access on-demand from your website or your online banking system. Once the desired form is selected, it can be easily completed and electronically signed. The completed form is then automatically routed to the IMM eSign+ server where the rules-based system initiates the workflow procedure designated for the specific form. The workflow procedure controls the systematic routing across back-office functions to facilitate the required business process activities to fulfill the service or activity requested. Once all workflow managed activities are completed, the form and all operational audit trails are automatically archived (fully-indexed) into your Imaging/ECM repository.

 

The combination of our eForm, eSignature, and eWorkflow capabilities allows you to achieve higher levels of consumer engagement in a fully automated, self-service eTransaction environment. Any combination of eForms and eWorkflows can be generated to support the unique processing requirements of forms-related operations such as Stop Payment Requests, Skip-A-Pay Requests, Change of Address Requests, Wire Transfer, or ACH Transaction Requests.

What happens at each step along the way? Well let’s show you:

Publish eForms on Your Website

To begin, your financial institution creates the “Widget” or eForm through a simple editor that allows you to generate a custom eForm complete with field validation, required data input, and other functions that you require to generate your online smart forms. Once the widget (eForm) is created, you simply embed the correlating script code into your website where you’d like the form to be accessible. Optionally you can even email a custom URL to consumers to provide them with easy access to the eForm when you need it completed and signed.

Consumer Accesses Form & Signs

Now that the form is hosted on your website, consumers can easily access the form “on-demand” (when and where they need it). After they are authenticated based upon your eForm requirements, they can complete all fields or data elements requested on the form and then eSign the form to formally submit it to your institution.

eForm Sent to IMM eSign

Following the successful completion by the consumer, the requested eForm is automatically routed to the IMM eSign+ (eSign with eWorkflow) server where the form is matched to its corresponding business process workflow.

Workflow Initiated

The matching workflow process created for the eForm is activated, and all tasks or processes are then followed as prescribed in your uniquely defined workflow. Individual workflows can be customized to follow your institution’s specific operating procedures or prescribed business practices.

Workflow Process(es) Performed

All tasks and processes contained within the workflow are now processed. Workflows can control tasks such as sending the eForm to a department or individual for preliminary review, then perhaps to another individual for approval, then forwarded to another department where the request contained on the eForm is fulfilled or the business system is updated.

There are no practical limits to the number of eForms you can generate with this solution pack, nor any limitations to the number of customized workflows, tasks, or processes you can associate to each individual eForm.

Archive

Like all IMM eSignature and eTransaction solutions, completed eForms (documents) along with produced audit trails are fully indexed and seamlessly archived into your Financial Institution’s Imaging/ECM system. This provides you with the safekeeping of all critical business documents and completes the end-to-end electronic transaction lifecycle.
