NSWC Federal Credit Union Deploys Integrated Media Management's TotaleAtlas Across Multiple Platforms

LINDEN, N.J., September 27, 2006— NSWC Federal Credit Union (NSWC FCU), Dahlgren, Va., with $205 million in assets and 23,000 members, faced a significant challenge on two levels. First, they wanted to automate and create a paperless environment for their documents. Second, whatever technology they chose to achieve this goal would have to integrate with their two core processing systems. For the solution they turned to Linden, N.J.-based Integrated Media Management (IMM), which specializes in output management and document automation technology and its product TotaleAtlas. TotaleAtlas is part of TotaleWorks, IMM's comprehensive suite of document output products.
"We wanted to build a document and print it without having to hand write information," explained Charles Armstrong, Vice President, Operations, NSWC FCU. "Using IMM's technology, we have gone from that simple beginning to the point where we are virtually paperless. We use the Integrasys CUBE platform as our main host system and Digital Insight's DeskTop Lender Premium for loan origination".
"We're able to interface from both systems to create the document that we need, whether it be for member services or loans," said Armstrong. "TotaleAtlas increases the speed at which you can create documents. We save countless hours of document preparation time."
TotaleWorks, which is comprised of TotaleAtlas, TotaleReceipts and TotaleChecks, improves the transaction process by electronically streamlining what has historically been a paper-based process. Financial institutions are able to leverage their existing technology and reduce operation costs through improved workflow, document presentment, and secure document delivery.
TotaleAtlas is a complete turnkey, browser-based document presentment solution. With TotaleAtlas, XML host data is merged with documents and presented to the user. All fields that are not populated from the host database are entered on screen allowing the entire document to be completed, including an embedded e-signature before archiving. If a copy is required for the member it can be laser printed or faxed.
The ability to capture signatures electronically is a great advantage according to Armstrong. "The member signs digitally when they close a loan, and it is stored securely so it is a valid document if we ever have to go to court," he said.
The paperless environment has also eliminated NSWC FCU's document storage problem. "The member gets a signed copy of the document, but other than that, we just store them electronically," said Armstrong. "We don't have to maintain files of paper that take up space and no one has to scan documents anymore. There is also less chance that someone will take advantage of vulnerable member information. The information is stored securely and electronically so that only people in the credit union with proper access can retrieve it."
NSWC FCU is also using IMM's DocQ product. DocQ is an add-on product which, when combined with TotaleAtlas holds signed documents in a document queue until a joint owner is available to sign at a later time and/or different location. DocQ also empowers a financial institution to prepare related documents in advance, thereby expediting their member's visit. "Whoever is working with a particular loan in our Dahlgren office can create the document, put it in DocQ and notify the loan officer in our Fredericksburg office. Then, when the member comes in to close the loan at the Fredericksburg branch, they can pull up a document that is already completed and generate it for the member to sign digitally," said Armstrong.
This month, NSWC FCU plans to upgrade to IMM's TotaleAtlasWeb product, an Internet-based, remote signature capture system with secure document delivery that will allow members to execute documents from anyplace in the world 24/7. Armstrong explained, "That's really important to us because of our relationship with the Navy. On any given month we will have people logging on to our Internet banking site from 48 of the 50 states and five continents. We will be able to close loans for these members without them setting foot in the credit union."
