1st United Services Credit Union Goes Paperless with Integrated Media Management's TotaleWorks Products

When 1st United Services Credit Union, located in the San Francisco Bay area wanted to go paperless with its documents, improve workflow and save money they turned to Integrated Media Management and its technology to make document processing more efficient. Integrated Media Management (IMM) of Linden, N.J., specializes in output management and document automation technology.

With more than $645 million in assets and more than 58,000 members, 1st United Services Credit Union first installed IMM's TotaleReceipts and then added the TotaleAtlas software. Both are part of IMM's TotaleWorks comprehensive suite of document output products.

TotaleWorks improves the transaction process by electronically streamlining what has historically been a paper-based system. Financial institutions are able to leverage their existing technology and reduce operation costs through improved workflow, document presentment, embedded electronic signature capture and secure document delivery.

TotaleAtlas is a complete turnkey, browser-based document presentment solution. It eliminates the time consuming effort of either storing paper and manually retrieving or physically scanning and indexing. With TotaleAtlas, XML host data is merged with documents and presented to the user. All fields that were not populated from the host database are completed on screen allowing the entire document to be completed, including an imbedded, digitized e-signature before printing. Documents can be laser printed, faxed or emailed to a customer. The documents are then archived as non-editable and indexed PDFs.

"TotaleAtlas is seamlessly integrated with our host system so documents are automatically pre-populated. Once a document is reviewed, accurate and complete, our members can sign the documents with a digitized signature. By using the DocQ add-on for TotaleAtlas and our host system, documents are routed to the proper department for action and follow-up," said Ed Renteria, chief information officer for 1st United Services. "We're using IMM's technology in conjunction with our host system to close the loop on workflow. Plus, the documents are exported and then stored in the imaging system for easy retrieval. The use of IMM technology has increased efficiency and saved us a ton of money," he said.

"We're excited about the new TotaleAtlas release which includes a lot of great enhancements to the product. We're going to expand our use of IMM's technology to just about every department in our credit union so that all the paper that used to move back and forth is done electronically. You never really need to handle a piece of paper unless you're printing a document," said Renteria.

TotaleReceipts eliminates the need for pre-printed paper receipts as well as manual scanning and indexing or storing and retrieving by automating the output of teller transaction receipts. After posting a transaction, receipts can be printed on either blank thermal or laser paper. Signatures are applied and submitted and the documents are stored as non-editable, indexed PDFs.

"We used to have an employee who did nothing but scan receipts all day. Now, receipts no longer need to be scanned. It's all done electronically and they can be retrieved in less than a minute," said Renteria.

Renteria has enjoyed working with the people at IMM. "They're topnotch. They listened really well to what we're trying to do and what are members are telling us," he said.
